SCHEDULE:

Office hours are primarily weekdays 8:00 am – 5:00 pm but responsibilities may occasionally require additional hours and flexibility that can include evenings and weekends.

POSITION DESCRIPTION:

Purpose:

Provide administrative support to the Office of the Provost and represent the office to other areas

Key Responsibilities

Administrative support for the Provost and Associate Provosts:

  • Greet visitors to the administrative offices and screen incoming calls for these offices
  • Maintain a strong professional decorum and assure a warm atmosphere
  • Manage calendars, appointments, and meetings
  • Create agendas and record minutes for various meetings
  • Design and produce reports and other documents. Perform a variety of computer work including use and design of word processing, databases, spreadsheets, slide presentations, and desktop publishing.
  • Work closely with and cross-train to support the work of the Provost’s and President’s Offices and assist in various duties as needed
  • Perform a variety of general office duties such as ordering and stocking supplies
  • Prepare and distribute student academic status letters using mail merge
  • Assist with online course revision schedules, issue contracts, and process payments
  • Serve as a liaison between the campus bookstore and faculty coordinators to manage textbook assignments and changes
  • Other duties as assigned

Event Planning:

  • Work closely with administrative assistants, university committees, and others in scheduling campus meetings and events which may include the coordination of facilities and arrangements with food service
  • Coordinate and schedule faculty interview visits including travel arrangements, itinerary preparation, room reservations, and reimbursements. Host online streaming and recording of faculty interview presentations
  • Coordinate graduation events including campus communication, planning the graduate reception, managing the support team, contracting vendors, etc.
  • Other event planning throughout the year including ordering food service, decor, reservations, set up, and clean up in coordination with facilities and other offices

Financial:

  • Prepare contracts, stipends, and payment documentation
  • Work closely with department chairs to ensure accuracy of adjunct and overload courses
  • Process faculty tuition reimbursement
  • Process monthly expense reports and invoices
  • Provide financial reports as needed
QUALIFICATIONS:
  • Bachelor's or associate's degree with equivalent experience and skills relevant to the position
  • Ability to communicate with faculty and staff, trustees, community leaders, higher education organizations, and other constituents in a friendly, professional manner, and with a high level of confidentiality
  • Excellent verbal and written communication skills, organizational skills, and listening skills
  • Experience in an office environment with demonstrated maturity, initiative, and excellent general secretarial skills, including computer proficiency, filing, writing, and editing
  • Ability to work effectively in a team relationship with fellow staff and faculty members and within the community of LeTourneau University
  • Self-motivated and able to work with minimal daily supervision
  • Ability to lift 30 pounds
