SCHEDULE: Primarily weekdays, 8:00 a.m.-5:00 p.m.  Occasional evenings and weekends may be required.
POSITION DESCRIPTION:

The goal of the Hospitality and Guest Experience team is to create a welcoming and gracious environment for all campus guests, especially prospective students and families. We strive to curate a five-star guest experience with LeTourneau University’s unique identity and mission thread throughout each aspect. It is our goal that all LeTourneau University students, residential and online, have a strong sense of belonging and connectedness to the community, and the Enrollment Events Coordinator plays a pivotal role in leading that charge. The Enrollment Events Coordinator will be a leader in event planning and guest experience. They will report to the Assistant Director of Hospitality and Campus Visits.

Responsibilities:

  • Become an ambassador of the LeTourneau University mission, vision, and history so that each is threaded throughout team development and guest experience
  • Organize and coordinate engaging prospective student events, including YellowJacket Preview, Aviation and Engineering Preview, Heritage Scholarship Competition, and SWARM
  • Ensure service excellence is at the forefront of event planning and logistics
  • Create and send dynamic communications to attendees before and after campus visits
  • Work collaboratively with the Visit Center Coordinator to schedule group campus tours for preview events
  • Become familiar with the LeTourneau University mission, vision, and history so that each is threaded throughout guest experience
  • Ensure tour routes, including showrooms, are prepared prior to each preview event
  • Communicate with the Assistant Director of Hospitality and Enrollment Events regarding any repairs or cleaning that should take place prior to preview events
  • Collaborate with the Assistant Director of Hospitality and Campus Visits to ensure all EMC team members are aware of event details, including roles and responsibilities
  • Organize meetings with additional offices, including the Belcher Center, Conference and Events, and the Office of the President, to discuss event details and make appropriate reservations
  • Manage catering menus, orders, and payments for preview, SWARM, and other enrollment-related events
  • Ensure details of events are attended to, such as digital signage, technology support, golf cart availability, technology integration into tours, and unique tour routes for each group
  • Continually assess and improve events to integrate personalized experiences and care for guests
  • Monitor event survey feedback for quality assurance and continual improvement
  • Collaborate with other campus constituents overseeing specific programming for preview events (i.e., the Director for Engineering Outreach, Administrative Assistant to the Dean of Aviation, etc.)
  • Collaborate with the Visit Center Coordinator and Assistant Director of Hospitality and Enrollment Events regarding roles and responsibilities of student ambassadors for events
  • Lead the check-in and check-out process for events through CRM, welcome guests, and guide guests to refreshments and the next meeting location
  • Utilize CRM for guest experience insights, engagement journey tracking, and enrollment events planning
  • Collaborate with the Assistant Director of Hospitality and Enrollment Events to build, implement, and oversee virtual preview events for prospective students and families
  • Provide feedback on creating a user-friendly, student-centric online experience for those looking for event information and registering for events
  • Build ideas for new virtual and in-person events that serve prospective and incoming students, such as regional meet-and-greets that include recruiters and ambassadors
  • Consistently attend Hospitality team huddles and provide reports regarding recent and upcoming events
  • Serve as a backup to monitor the Visit Center/Admissions front office to ensure guests are greeted and assisted
  • Occasionally serve as backup to the Guest Services Coordinator and cover the switchboard
  • Assist the Assistant Vice President for Hospitality and Guest Experience and the Assistant Director of Hospitality and Enrollment Events with additional projects as needed
